Fee Subsidy Management

1. Add a New Fee Subsidy

To add a new Fee Subsidy:

  • Navigate to Fee Configuration.

  • On the Fee Item page, click the + Create button and select Fee Subsidy.



As a Finance Admin or Centre Admin, you can add new Fee Subsidies. You may assign the subsidy to one or multiple centres, or choose to skip the assignment and save it directly.

  • All Fee Subsidies are listed with Active status and sorted by creation date and time.

  • Fee Subsidy follows the same rule as Fee Items:

    • HQ Admins can view all GST rates.

    • Centre Admins can only view the current active GST rate.


2. Assign Fee Subsidy

As Finance HQ, you can assign a Fee Subsidy in two ways:

  • From the listing, click the 3-dot button next to the item and choose Assign To Centres.

  • Alternatively, go to the Fee Subsidy Details page, click on the Fee Subsidy Action button, and select Assign To Centres.



3. Unassign Fee Subsidy

To unassign a Fee Subsidy:

  • From the listing, select the Fee Subsidy and go to the Fee Subsidy Details page.

  • Navigate to the Assigned Centres tab.

You can unassign the Fee Subsidy from one or multiple pending/active centres by:

  • Clicking the 3-dot button for single selection, or

  • Using the Bulk Action button for multiple selections, then selecting Unassign From Centres.

The Fee Subsidy will be automatically removed from the student billing plan.
Unassigning will not affect previously generated documents, and the subsidy will no longer appear in the list for adding programmes to a child in the centre.


4. Edit Fee Subsidy

To edit an existing Fee Subsidy:

  • Select the subsidy from the listing and go to the Fee Subsidy Details page.

  • Click Edit Info.


You can update all existing data except the conditional group.
An effective date must be selected for the changes to take effect.
The action will be recorded in both Pending Activity and Activity Log.

Note: The document date must match the future effective date of the Fee Subsidy.
If any document (e.g. invoice or receipt) has been issued using the new value, the pending activity cannot be cancelled.


5. Archive Fee Subsidy (by HQ)

As Finance HQ, you can access three tabs under Fee Subsidy: HQ Item, Centre Item, and Archived.

To archive:

  • Click the 3-dot button on the listing or use the Bulk Action button for multiple selections, then choose Archive,
    OR

  • Go to the Fee Subsidy Details page, click Fee Subsidy Action, and select Archive.

Once archived, the Fee Subsidy will be automatically removed from the student billing plan.
The action is recorded in the Activity Log.
Archiving will not impact previously generated documents and will remove the Fee Subsidy from the list available for adding programmes to a child.


When a Fee Subsidy is unassigned or archived by HQ, the Centre Admin of the respective centre will be notified.


6. Archive Fee Subsidy (by Centre)

Both HQ Admins and Centre Admins can always see three tabs on this screen.

  • HQ Admins can view the Centre Item tab and edit all items created by Centre Admins.

  • Centre Admins have view-only access to the HQ Item tab.

To achieve a Fee Subsidy:

  • Under the Centre Items tab, Centre Admins can use the Archive button for Fee Subsidy details tied to their own centre.

  • This can also be done from the Fee Subsidy Details


7. Unarchive Fee Subsidy

To unarchive:

  • Go to the Archive List, where both Finance Admins and Centre Admins can unarchive Fee Subsidies.

The subsidy will reappear in the list of active Fee Subsidies and be available again for adding programmes to a child.
Its status will change to Active and it will be shown in the Active List.

Alternatively, you can go to the Fee Subsidy Details page and click the Fee Subsidy Action button, then select Unarchive.
