[PCF] How to update class operation status
Here are the steps to update class operation status in the PCF SMS system:
Step 1: Go to "Class Management" module
Navigate to the Class Management module from your SMS dashboard.
Step 2: Select a class and click the 3-dot button
Find the class you want to update and click on the three-dot action button next to it.
Step 3: Click on "Change Class Status"
Select "Change Class Status" from the dropdown menu to open the status update dialog.
Step 4: Update the "New Operation Status"
Select the new operation status from the dropdown menu based on your requirements.
Step 5: Click on "Change Status"
Confirm the status change by clicking the "Change Status" button. The class status will be updated immediately.
Class Operation Status Definitions
Active | Class has opened and is in full operation |
Pending | Class is planned and has not gone into operation yet |
Closed | Class is still in operation but is no longer open for enrollment. This class will not be included in available vacancy |
Deactivated | Class is no longer in operation, nothing can happen except for certain ad-hoc billing activities |
Archived | Class has been moved to archive and is now view-only. Billing activities will be no longer available except for collections |
IMPORTANT NOTES
Deactivation Requirements
A class can only be deactivated after:
- 1. Closing the class first
- 2. Withdrawing all staff from the class
- 3. Withdrawing all students from the class
Billing Impact
Different statuses have different impacts on billing and enrollment activities. Archived classes have the most restrictions with only outstanding invoice collections allowed.
