[PCF] How to change interest status from Offered to Enrolled

Here's the complete flow to move a student from Offered status to Enrolled in the PCF SMS system:

STEP 1: OFFERED TO PENDING REGISTRATION

After parent accepts the offer:

1. Go to Interest Management → Find the student → Click "Interest Actions" → Select "Update Interest Status"

2. Change status to "Pending Registration"

3. Select the correct fee item version from dropdown

System automatically generates:

  • • Registration fee invoice
  • • Email to parent with enrolment form link

STEP 2: PENDING REGISTRATION TO VERIFIED

After parents complete requirements:

Requirements: Enrolment Form approved + CDA Form approved + Registration fee paid

To approve Enrolment Form:

  • 1. Go to Interest Management → Student name → Parent Responses tab
  • 2. Click on Enrolment Form with "Pending Approval Status"
  • 3. Review details and tick verification checkboxes
  • 4. Click "Approve" button

To record registration fee payment:

  • 1. Go to Billing Account → Interest Account tab → Student name
  • 2. Click Invoices → 3-dot button → "Make Payment"
  • 3. Select payment mode and enter amount → Save Payment

Once all requirements met: Change status to "Verified"

System generates: Deposit invoice for one month's programme fees

STEP 3: VERIFIED TO ENROLLED

When child starts school:

Before changing to Enrolled:

  • 1. Complete Declaration for ECDA in the approved Enrolment Form
  • 2. Send the form to ECDA
  • 3. Update interest status to "Enrolled"

System automatically creates:

  • • New student profile in Student Management module
  • • GIRO Application Form for parents
  • • "About My Child" form (level-specific)
  • • Authorised Person(s) to Fetch Child form
  • • PEP access for both parents

IMPORTANT NOTES

Email Notifications

Status changes trigger automatic emails to parents (except for 'Contacted' and 'Expired'). Ensure parents are informed about the process.

Visa Requirements

Short Term Visit Pass (STVP) has been removed. Students must have a Student's Pass before offering placement, otherwise parents will encounter issues in the Enrolment Form.

Payment Flexibility

Registration fee and deposit can be collected together or separately. The deposit is collected after CA verifies all enrolment information and documents.
