[PCF] How to set up student billing accounts

Here's how to set up and manage student billing accounts in the PCF SMS system:

Step 1: Go to Finance module

Navigate to the Finance module from your SMS dashboard.

Step 2: Navigate to Billing Account

Under the Finance module, select "Billing Account" to access student billing management.

Step 3: Select Student Account tab

Click on the "Student Account" tab to view enrolled students' billing accounts.

Step 4: Click on student's name

Find and click on the student's name to open their detailed Billing Account page.

Student Billing Account Components

Account Types Available:

Student AccountLatest billing plan for enrolled students, including programme fees, subsidy forecast, and discounts
Interest AccountBilling summary, invoices, and receipts for students not yet enrolled

Billing Account Summary includes:

  • SUG: Start-Up Grant for Infant & Childcare
  • KSUG: Start-Up Grant for Kindergarten
  • EHSF: Enhanced Headstart Fund Financial Assistance Scheme

Financial Documents Access

Consolidated view for accessing invoices, receipts, and payment history without navigating multiple screens.

Billing Types

Monthly Billing

Checklist generated every month. Recurring invoices are generated based on the checklist for regular programme fees.

Ad Hoc Billing

One-time billing for items such as:

  • • Outing fees
  • • Uniforms
  • • Deposits
  • • Registration fees
  • • Other miscellaneous charges

IMPORTANT NOTES

Single Billing Account per Centre

Only one Billing Account will be displayed per Main Centre (IF/CC). This reduces manual work and improves payment tracking.

CDA vs Non-CDA Categories

The system automatically splits Outstanding amounts and Balances into two categories: CDA and non-CDA for better financial tracking.

Student-Specific Setup

Each student has their own billing setup, allowing for individualized payment plans, subsidies, and financial arrangements.
